Connect your Square POS to Owner

Owner connects to your Square POS through Otter, our integration partner. Otter reads your menu straight from Square, so you won't rebuild it, and sends orders placed on Owner into your Square POS.

⚠️ Before you start, you'll need the login for your Square dashboard and an Otter account. Your Owner contact sets up the Otter account for you and Otter emails you the login details. If you haven't had that email, ask your Owner contact before you begin.

Check that you're on Square V2

Otter works with Square V2. If you're still on Square for Restaurants V1, you'll need to move to V2 first. Moving is free, and you do it yourself.

In your Square dashboard, look for Square for Restaurants. If you don't see it, or it shows as Added and greyed out, you're already on V2 and there's nothing to do here. If you can still add it, you're on V1. Tell your Owner contact, and they'll send you the steps to move over.

Add Otter to your Square team (optional)

ℹ️ This step is optional. It gives Otter an extra way to help if something goes wrong later. If your Square plan won't let you grant all the permissions, add what you can, or skip to the next section. Your integration will still work.

  1. Log in to your Square dashboard. On the left, click Team, then Team Members.

  2. Click Add Team Member.

  3. Under Preferred Name, type Otter. Under Last Name, type Team.

  4. Under email, type [email protected], then click Next.

  5. Click Primary job, then Create new job, and type Owner.com.

  6. Uncheck Tip eligible, then click Save.

  7. In Hourly rate, type 0, then click Next.

  8. Click Permission Set and pick any set with full access. If none of yours has full access, pick Admin or Manager. It shows as "All Permissions".

  9. If you don't have a full-access set, make one. Click Create permission set, type Owner.com as the Permission Set Name, select Full, then click Save.

  10. Click Locations and check that All current locations is selected.

  11. Click Save. A passcode generates automatically. Keep it, your Owner contact will ask for it.

  12. Click Next, check the details are right, then click Done.

Connect Square in your Otter dashboard

This is the step that turns the integration on, so don't skip it.

  1. Go to manager.tryotter.com and log in.

  2. Click the profile icon in the top right corner.

  3. Go to Settings, then Integrations.

  4. Next to Square, click Explore. If Square isn't showing, search for it in the integrations search bar.

  5. Click Connect Square.

  6. Square walks you through connecting your account and granting Otter access. Follow the prompts.

  7. Square now shows as a connected integration in your list.

✅ No email from Otter after 24 hours? Go to manager.tryotter.com, click Forgot password?, enter the same email you gave your Owner contact, and click Reset password. You'll get login instructions straight away.

If you used another POS integration provider before, such as Chowly, It's a Checkmate, Deliverect, or OLO, contact them and ask them to remove the integrations from your delivery partners. Disconnecting isn't enough. Your delivery partners won't let Otter connect until the old integrations are removed.

Send your Square Location ID

Your Owner contact needs the Location ID for every location you're connecting. The wrong ID means we pull the wrong menu for that location.

  1. From your Square dashboard home screen, click Settings.

  2. Go to My Business.

  3. Click Locations.

  4. Select the location you want.

  5. Click Edit location in the top right corner.

  6. Look at your browser's address bar. The URL reads https://squareup.com/dashboard/locations/ followed by letters and numbers. Everything after locations/ is your Location ID.

  7. Copy it, then close the page and discard any changes.

⚠️ Send the Location ID in capital letters, and repeat this for every location you're connecting.

Choose which menu Owner uses

  • Duplicate the menu you want to sell online and give it a clear name, like Owner Menu. Otter connects to the duplicate, not your original menu.

  • Tell your Owner contact which categories should appear on your Owner menu.

  • To keep an item off your Owner menu, tag it with the Hide from Otter custom attribute in Square. You have to do this in Square, not in Otter.

⚠️ Your menu has to be built and live in Square before the sync can run.

After you're connected

  • Square is the source of truth for your menu. Make every change to items, prices, descriptions, and photos in Square POS, and Otter syncs it to Owner. Changes made directly in Otter get overwritten on the next sync.

  • Menu changes are yours to make. Owner can't edit your Square menu for you, so you'll make those updates in Square yourself.

  • Square items with variations, like sizes, come across as separate items on Owner rather than one item with size options. It's worth structuring your Square menu with that in mind before the first sync.
