Send a one-time email campaign

Along with the automated campaigns Owner runs for you, you can write and send your own one-time emails to your guest list, like a promotion or an announcement. There's no limit on how many you send, but sending fewer keeps guests interested.

Requirements

  • Access to your whole brand. If your access is limited to specific locations, you can view campaigns but can't create, edit, or send them. You'll see an "unable to create" error if you try.

Write and send a campaign

Build your email in four parts: start it, describe it, add a subject and content, then save or send it.

Start your email

  1. In your Owner Dashboard, go to Marketing › Custom.

  2. Click Create at the top right.

  3. Choose Email.

  4. Choose Make it with AI or Make it yourself.

✅ Tip: Make it with AI is the faster option.

Describe your email

  1. Set the Occasion, which is what the email is about, like "Pizza promo" or "Half-price New Year's drinks."

  2. Pick a Tone of voice.

  3. If you want, add a menu item or a coupon.

  4. Click Generate.

ℹ️ Note: Menu items and coupons are location-specific. If you're sending to your whole brand instead of one location, neither option is available.

Add a subject and content

  1. Click Create at the top right.

  2. Enter an Email subject.

  3. Click Create again.

  4. Edit the text, or click Add Section to add one of these:

    • Image

    • Headline

    • Subheading

    • Paragraph

    • Menu item

    • Coupon

    • Order Now button

    • Gift card button

    • Custom button

    • Catering buttons

    • Get the App buttons

    • Gift card banner

✅ Tip: Add your restaurant's name at the end of the subject so guests recognize your email.

Save or send

  • To keep working on it later, click Save as draft.

  • To send it, click Send, then pick a day and time.

After you send it, you can leave the screen. Depending on the size of your guest list, it takes from a few minutes to an hour for every email to go out.

ℹ️ Note: Your emails come from your brand name at [email protected], so a guest sees something like Your Restaurant Name <[email protected]>. It's the same for one-time and automated emails.

Add app download buttons

Get the App buttons add App Store and Google Play badges to your email. They link straight to your app's download page, instead of a plain-text link.

  1. In the email editor, click Add Section.

  2. Choose Get the App Buttons.

  3. Click Add. You can move the section up or down like any other section.

Which badges appear depends on which apps you have live:

  • Only an iOS app: the App Store badge.

  • Only an Android app: the Google Play badge.

  • Both apps: both badges.

  • No live app: the option doesn't appear in the list of sections.

Promote your catering

Use a Catering buttons section to send guests to your catering page or catering menu. It's a quick way to promote catering for events or office lunches.

Click Add Section, choose Catering buttons, then click Add. Or select a Catering buttons section that's already in your email. Then:

  1. Choose Catering page or Catering menu.

Each option opens a different page:

  • Catering page: opens your website's catering page.

  • Catering menu: opens your online catering menu, so guests can order right away.

⚠️ Your catering page or menu must be live. If it isn't, the button shows a red message in the preview and you won't be able to send until you switch options or remove the section.

Add a custom button

A Custom button links to any web page you choose, like your contact page, an event page, or a reservations page.

  1. In the email editor, click Add Section.

  2. Choose Custom button, then click Add.

  3. Change the Button label. It starts as "Learn more".

  4. Enter the page address in the Button link field.

⚠️ The link must be a web address starting with https://. If you enter something like example.com/contact, https:// is added for you. Anything invalid shows a "Fix button link" error and you won't be able to send.

ℹ️ Note: Phone (tel:) and email (mailto:) links aren't supported. To help guests call you, link the button to a page that shows your phone number, like your contact page.

Link an image to a page

Any image in your email can be clickable. It's useful for sending a hero image to your online ordering page or an event page.

  1. Add or select an Image section.

  2. Upload or confirm the image.

  3. Enter the destination link in the Click-through URL field.

  4. Click Done.

⚠️ The link must start with https://. Anything else shows an error and you won't be able to continue.

To check the link before you send, click the image while you're previewing the email. It opens the destination.

Send yourself a test first

Send a test to see exactly how the email looks in a real inbox. First save the campaign, then open it from Marketing › Custom.

  1. Click Send test in the right-hand sidebar.

  2. Enter the email address you want it sent to.

  3. Click Send test.

ℹ️ Note: The test can go to any email address, not just a guest on your list, so you can get approval before the campaign goes out. Send test only appears on campaigns you haven't sent yet.
