How staff and permissions work in Owner

Everyone who works at your restaurant gets a staff profile in Owner. Each person's jobs decide what they can see and do on your POS, tablet, dashboard, and the Owner App.

How it works

Three things work together:

  • Staff members are the people who work at your restaurant. Each one gets a profile and a 4-digit passcode to log in to your POS and tablet.

  • Jobs are roles, like Server or Manager. Every staff member has at least one job. A job can also set a default hourly pay rate.

  • Permissions are the things a job lets someone do, like taking payments, giving refunds, or viewing reports.

To change what someone can do, change their jobs or the permissions on a job. A staff member with more than one job gets every permission from all of their jobs, everywhere they log in.

ℹ️ Note: You may also hear jobs called roles. They mean the same thing.

Set up your team

Follow these steps in order. Admins and Managers can do all of them by default, from your Owner Dashboard or the Owner App.

  1. Choose your jobs. Use the three default jobs below, or make your own. See Create and edit staff jobs.

  2. Add your staff. Give each person a profile and at least one job. See Add, edit, or remove a staff member.

  3. Share their passcode. Staff use it to log in to your POS and tablet. See View or reset a staff passcode (PIN).

  4. Keep profiles up to date. Change jobs when someone is promoted, and remove people who leave. The same article covers this: Add, edit, or remove a staff member.

Want your staff to clock in and out? Next, see Set up and use the time clock.

The three default jobs

Every restaurant starts with three jobs. Use them as they are, or change them to fit your team.

Job

Best for

What it can do

Admin

Owners and general managers

Every permission, including billing and payments

Manager

Shift and assistant managers

Everything except Manage billing, Manage disputes, Manage payment accounts, View payouts, and Manage restricted forms

Employee

Servers, cashiers, and line cooks

Use checkout, Use kitchen display system (KDS), and Use time clock

These are the starting permissions. If someone on your team changed these jobs, yours may be different.

Examples

  • To keep your sales reports private, give staff the Employee job. It doesn't include View reports.

  • To let shift managers give refunds but not change billing, give them the Manager job.

  • For a cashier-only role, create a Cashier job with only Use checkout and Use kitchen display system (KDS) turned on. See Create and edit staff jobs.

Staff at more than one location

A staff member's permissions apply at every location they can access. To limit someone to one location, change Locations access on their staff profile. Changing a job's locations won't limit them.
